Introduction

Roam Record ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and protect your information when you use the Roam Record mobile application (the "App").

Information We Collect

Location Data

Roam Record collects location information only when you actively start a tracking session. This includes:

  • GPS Coordinates: Latitude and longitude
  • Altitude: Elevation data from GPS or device sensors
  • Speed: Your movement speed
  • Direction: Your heading/course
  • Timestamps: When each location point was recorded
  • Accuracy Metrics: Horizontal and vertical accuracy of location data

Collection Method: Location data is collected using iOS Core Location services with your explicit permission. You can grant "When In Use" or "Always" location permissions.

When Collected: Location data is only collected when you start a tracking session. No location data is collected when the app is idle or when you have not started a session.

Photos

If you choose to attach photos to marked items, Roam Record may access:

  • Camera: To take photos directly within the app
  • Photo Library: To select existing photos from your device

Collection Method: Photos are accessed only with your explicit permission when you choose to add a photo to an item.

Storage: Photos are stored locally on your device in the app's private storage directory. Photos are not transmitted to any external servers.

Text Notes

If you choose to add text notes to marked items, Roam Record stores:

  • Note Content: The text you enter
  • Associated Item: Which item the note is attached to

Storage: Notes are stored locally on your device using Core Data.

App Settings and Preferences

Roam Record stores your app preferences locally, including:

  • Default item names
  • Session name templates
  • Unit system preferences (metric/imperial)
  • Map style preferences
  • Language preferences

Storage: All preferences are stored locally on your device.

How We Use Your Information

Location Data

Location data is used solely for the following purposes:

  • Recording your path during tracking sessions
  • Marking item locations at specific GPS coordinates
  • Calculating distance, speed, duration, and elevation metrics
  • Displaying your path and items on maps within the app

Photos

Photos are used only to:

  • Attach visual documentation to marked items
  • Display photos within the app when viewing item details

Notes

Notes are used only to:

  • Store additional information about marked items
  • Display notes when viewing item details

App Settings

Your preferences are used to:

  • Customize the app experience according to your preferences
  • Pre-fill forms and templates with your preferred values

Data Storage and Security

Local Storage

All data collected by Roam Record is stored locally on your device using iOS Core Data. This includes:

  • Tracking sessions
  • Location points (path data)
  • Marked items with coordinates, notes, and photos
  • App settings and preferences

No data is transmitted to external servers unless you explicitly choose to export your data.

iCloud Backup (Optional)

If you have iCloud enabled on your device, your app data may be included in your device's iCloud backup. This is controlled entirely by your iOS settings, not by Roam Record. You can disable iCloud backup for app data in your iOS Settings.

Note: CloudKit infrastructure exists in the app but is currently disabled. If enabled in the future, this policy will be updated to reflect any changes.

Data Security

  • All data is stored in the app's private sandbox directory
  • Photos are stored in a secure subdirectory
  • Core Data uses iOS's built-in encryption when available
  • No data is accessible by other apps on your device

Data Sharing and Third Parties

No Third-Party Sharing

Roam Record does not share your data with any third parties. We do not:

  • Sell your data
  • Share your data with advertisers
  • Use third-party analytics services
  • Use third-party tracking services
  • Transmit your location data to external servers

User-Controlled Export

You have full control over exporting your data. When you choose to export:

  • Data is exported in formats you select (GPX, GeoJSON, CSV, JSON, KML)
  • Exported files are saved to your device or shared via methods you choose (AirDrop, Messages, Mail, Files app)
  • You are responsible for the security and privacy of exported data once it leaves the app

Apple Services

Roam Record uses standard iOS services provided by Apple:

  • Core Location: For GPS and location services
  • MapKit: For map display (uses Apple's map services)
  • Core Data: For local data storage
  • PhotoKit: For photo library access

These services are subject to Apple's Privacy Policy. We do not receive any data from Apple about your use of these services.

Data Retention and Deletion

Data Retention

Your data is retained on your device until you choose to delete it. There is no automatic deletion of data.

How to Delete Your Data

You can delete your data at any time through the following methods:

  1. Delete Individual Sessions: Delete specific tracking sessions from the History view
  2. Delete Individual Items: Delete specific items from within a session
  3. Delete All Data: Use the "Delete All Data" option in Settings (requires confirmation)

Important: Once data is deleted, it cannot be recovered. Deleted data is permanently removed from your device.

Revoking Permissions

You can revoke permissions at any time through iOS Settings:

  • Location: Settings → Privacy & Security → Location Services → Roam Record
  • Camera: Settings → Privacy & Security → Camera → Roam Record
  • Photos: Settings → Privacy & Security → Photos → Roam Record

Revoking permissions may limit app functionality but will not delete existing data.

Children's Privacy

Roam Record is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately so we can delete that information.

Your Rights

You have the following rights regarding your data:

  1. Access: You can view all your data within the app
  2. Export: You can export your data in multiple formats
  3. Delete: You can delete your data at any time
  4. Control: You control when location tracking starts and stops
  5. Revoke Permissions: You can revoke app permissions at any time

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by:

  • Updating the "Last Updated" date at the top of this policy
  • Posting the new Privacy Policy at the same URL

Your continued use of the app after any changes constitutes acceptance of the new Privacy Policy.

Permissions Explained

Location Services ("Always" Permission)

  • Required for: Background location tracking during active sessions
  • Used for: Recording your path even when the app is in the background
  • You can: Use "When In Use" permission, but background tracking will not work

Camera Permission

  • Required for: Taking photos to attach to marked items
  • Used for: Capturing photos directly within the app
  • You can: Deny this permission and still use the app (you just won't be able to take photos)

Photo Library Permission

  • Required for: Selecting existing photos to attach to items
  • Used for: Accessing photos from your device's photo library
  • You can: Deny this permission and still use the app (you just won't be able to select existing photos)

Data Export Formats

When you export data, it may include:

  • GPX: Standard GPS exchange format
  • GeoJSON: Geographic data in JSON format
  • CSV: Comma-separated values for spreadsheet import
  • JSON: Structured data format
  • KML: Keyhole Markup Language for mapping

All exported data includes only the information you have recorded in the app. No additional metadata is included unless you choose to include it in export settings.
